1. Who We Are

Atlas Minds Co. ("we", "us", "our") operates the Signl call intelligence platform, Notos real-time call notes extension, and Metis AI knowledge base. This privacy policy applies to all Atlas Minds products and services.

2. Information We Collect

Account Information: Email address and password when you create a Signl account. Organization name and contact details provided by your administrator.

Audio Data: When using Notos, audio from your active browser tab is captured and transmitted to our servers for transcription. Audio is processed in real-time and is not stored permanently after transcription is complete.

Transcripts & Extractions: Text transcriptions and extracted action items (tasks, follow-ups, contacts, commitments) are stored in your organization's account for review and CRM synchronization.

Usage Data: Session duration, feature usage, and error logs used to maintain and improve our services.

3. How We Use Your Information

• To provide real-time transcription and action item extraction
• To authenticate your identity and manage your account
• To sync approved extractions to your connected CRM (HubSpot, Salesforce, GoHighLevel)
• To improve our AI models and service reliability
• To communicate account-related updates and notifications

4. Data Sharing

We do not sell, rent, or trade your personal data. We share information only in these circumstances:

• AI Processing: Audio is transmitted to our transcription infrastructure (self-hosted or AssemblyAI) and to OpenAI for action item extraction. These providers process data under their respective privacy policies and data processing agreements.
• Your CRM: When you explicitly approve and sync extractions, that data is sent to your connected CRM platform under your authorization.
• Infrastructure: We use Supabase (database and authentication) and Vercel (application hosting) to operate our services.
• Legal Requirements: We may disclose information if required by law, subpoena, or court order.

5. Data Retention

Audio data is processed in real-time and is not retained after transcription is complete. Transcripts and extracted action items are stored in your organization's account until deleted by you or your organization administrator. Account data is retained for the duration of your account and deleted upon request.

6. Security

We implement industry-standard security measures including: TLS encryption for all data in transit, AES-256-GCM encryption for stored credentials and tokens, role-based access controls, row-level security policies on all database tables, and HMAC-signed OAuth state parameters to prevent CSRF attacks.

7. Your Rights

You have the right to access, correct, export, or delete your personal data at any time. Organization administrators can manage member data through the Signl admin panel. To exercise your rights, contact us at the address below.

8. Chrome Extension (Notos)

The Notos Chrome extension captures audio exclusively from the browser tab you explicitly activate it on. It does not access your browsing history, other tabs, bookmarks, or any data outside the active capture session. Audio capture requires your explicit action (clicking "Start Capture") and can be stopped at any time. The extension stores only your authentication token and API settings locally using Chrome's secure storage API.

9. Children's Privacy

Our services are designed for business use and are not intended for individuals under the age of 18. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this privacy policy from time to time. We will notify you of any material changes by posting the updated policy on this page with a revised "Last updated" date.
